At Peke Waihanga, we're committed to helping people participate in life through the provision of prosthetic, orthotic and rehabilitation services. We're looking for an organised and customer-focused Service Coordinator to join our Wellington team.

This is an important frontline role and is often the first point of contact for our clients, whānau and referrers. You'll play a key role in ensuring our clinics run smoothly, supporting clinicians and providing exceptional service to the people we work with.

Job Description

About the role

As our Service Coordinator, you'll have a key role in creating a positive experience for the people who access our services. As the first point of contact for many clients, you'll help people feel welcomed, supported and confident that they're in good hands.

Working alongside a fantastic team of clinicians, technicians and support staff, you'll help ensure our services run smoothly while providing excellent support to both patients and colleagues. No two days are the same, so you'll enjoy variety, be comfortable juggling competing priorities and take pride in finding solutions when challenges arise.

This role is 3 days per week - Monday to Wednesday.

As our Service Coordinator, you'll:

  • Coordinate client appointments and clinic schedules
  • Provide a welcoming and professional experience for clients and visitors
  • Answer phone and email enquiries and direct requests appropriately
  • Maintain accurate client records and documentation
  • Support administrative processes, reporting and data entry
  • Work closely with clinicians and the wider team to ensure services run efficiently
  • Manage competing priorities and respond to changing demands throughout the day

About you

We're looking for someone who:

  • Is an experienced administrator with strong organisational skills
  • Enjoys working as part of a team and contributing to a positive workplace culture
  • Can confidently manage multiple tasks and priorities at once
  • Has excellent attention to detail and takes pride in getting things right
  • Has a warm, professional and customer-focused phone manner
  • Is empathetic, approachable and genuinely enjoys helping people
  • Brings a positive outlook and remains calm under pressure
  • Is reliable, dependable and follows through on commitments
  • Is comfortable working independently while also being a supportive team member
  • Has good computer skills and can quickly learn new systems

Previous experience in healthcare, administration, customer service or a similar coordination role would be advantageous, but is not essential.
